The short version
- Look In On helps a family or friends organise visits, appointments and daily reminders for someone they look in on. To do that, it keeps the information you put into it.
- Only the people in your circle can see your circle's information. The person you look in on can only see their own simple screen.
- We will never sell your information or show adverts. Look In On is paid for by subscriptions, not by your data.
- Your information is stored in the UK. A few trusted services help us run the app, and they're listed below.
- You can ask to see, correct or delete your information at any time by emailing hello@lookinon.co.uk.
Who we are
Look In On is run by Carl Britton, in the United Kingdom ("we", "us"). We are responsible for your information under UK data protection law (the UK GDPR and the Data Protection Act 2018).

What information we keep
About you, if you use the family app
- Your email address, which you use to sign in. We send you a code each time; there's no password.
- Your name, and whether you're family or a friend.
- If you add them: your phone number, how you'd like to be called (phone, FaceTime or WhatsApp), and a photo for the call buttons.
About your circle
Anything the people in your circle add, for example:
- the name of the person you look in on, and what you call them (such as "Mum")
- visits, appointments, requests for help and jobs, and who has said they'll do them
- notes after visits, key contacts (such as the GP's phone number) and "Good to know" information (such as where the spare key is)
- the daily checklist (such as "morning tablets" or "exercises"), when each item is due, and when it was ticked
- things the person has asked for, and their answers about visits.
About the person's own phone or tablet
- Their phone or tablet is set up by someone in the circle with a six-digit code. It doesn't need their email address or a password.
- We keep a name for the device (such as "Tablet") so the family can manage it.
- If location is allowed, the device works out its rough location (to about 1 km) to fetch the local weather for the friendly greeting. This is used only to look up the weather. We don't store it.
If you subscribe
- Subscriptions are paid through Apple's App Store or Google Play. They handle the payment, so we never see your card or bank details.
- We only find out whether your subscription is active, so the app can work for your circle.
To make the app work
- A notification address for each phone or tablet, so we can send reminders and alerts.
- Recordings of the sentences the app reads aloud (see "The friendly voice" below).
- Basic technical records kept by our service providers, such as when you signed in, and error logs.
Health information
Some of what you add, such as a checklist item for tablets or a note after a visit, may say something about a person's health. The law treats this as "special category" information and asks us to take extra care with it.
- The app never asks for medicine names or doses. A reminder like "Morning tablets" is enough.
- Please only add what's needed to organise the person's day.
- Please make sure the person you look in on knows the family is using Look In On, and is happy for this information to be kept. Where they're able to, it should be their choice.
We use this information only to show it to the people in your circle and to send reminders and alerts. We rely on the explicit consent of the person setting up the circle, and they confirm they have the agreement of the person concerned or are entitled to act for them.
Why we use your information

We don't use your information for advertising, we don't sell it, and we don't use it to make automated decisions about anyone.
Who can see it
- People in your circle can see the circle's information. Organisers can manage the circle, its checklist and its devices.
- The person's own phone or tablet only sees what's on their simple screen: their day, their checklist, their requests and who's coming to see them. It can't see notes, jobs, contacts or "Good to know".
- Our service providers (below), only so they can run their part of the app. They aren't allowed to use it for anything else.
We'd only share information with anyone else if the law requires it.

Where a service is outside the UK, we rely on the protections UK law requires for sending information abroad, such as the UK–US Data Bridge or the UK's standard contract terms.
The friendly voice
To read things aloud in a natural voice, the sentence (for example "Good morning Margaret. Sam is coming this afternoon.") is sent to Google to be turned into speech. We keep each recording for up to 30 days, so the same sentence doesn't have to be made again. A copy may also be kept on the phone or tablet itself, so it plays straight away; the phone or tablet clears these when it needs the space, or when the app is removed. Recordings are private: they can only be reached through the app, with a link that soon expires.
Notifications
Notifications show a short message on the phone or tablet, such as "Time for your morning tablets", and pass through the notification services listed above. Like any notification, they may be visible on the lock screen.
How long we keep it
- Your circle's information is kept while the circle is in use, so the family can look back at notes and what's been done.
- If you ask us to delete your account, we delete your personal details within 30 days. Things you added to a circle that others still use (such as a note) may stay in the circle without your name.
- If a whole circle is deleted, everything in it is deleted within 30 days.
- Voice recordings are kept for up to 30 days.
- Our service providers' backups and technical logs are kept for a short time and then deleted.
Your rights
You can ask us to:
- give you a copy of your information
- correct anything that's wrong
- delete your information
- stop or limit how we use it
- give your information to you, or another service, in a common format.
You can also withdraw your consent at any time. To delete your account, see Deleting your account. For anything else, email hello@lookinon.co.uk. We'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, or call 0303 123 1113.
Deleting your account
You can delete your Look In On account at any time:
- In the app: press ⚙ at the top of the home screen, then Delete my account. (If your version of the app doesn't have this yet, email us instead.)
- By email: write to hello@lookinon.co.uk from the email address you sign in with, and ask us to delete your account.
What happens:
- Your sign-in, name, phone number and photo are deleted, and you're removed from your circles.
- Things that were only yours, such as your notes and your visits, are deleted. Elsewhere your name is just removed, for example from an appointment you were taking someone to.
- If you're the only person in a circle, the whole circle is deleted, including the person's own phone or tablet set-up.
- If you're the only organiser of a circle others still use, the person who has been in it longest becomes its organiser, so they can carry on.
- Deleting your account doesn't cancel a subscription: please cancel it in your App Store or Google Play account.
The person's own phone or tablet doesn't have an account of its own to delete: an organiser removes it in the app, under ⚙ and their phones and tablets.
Keeping it safe
- Information is encrypted when it travels between the app and our servers.
- Security rules on our database mean each circle can only see its own information.
- Sign-in uses one-time codes sent to your email, and the person's device is set up with a short-lived code, so there are no passwords to steal or forget.
Children
Look In On is for adults. It isn't meant for children under 16, and we don't knowingly keep children's information.
Not a care or emergency service
Look In On is an app to help families organise. It isn't a care service and doesn't replace professional care or medical advice. Reminders and alerts depend on phones, tablets and the internet working, so they may sometimes be late or not arrive. In an emergency, always call 999.
Changes to this policy
If we change this policy, we'll update the date at the top. If the change is important, we'll also tell you in the app.
